How We Collect Information

We collect information directly from you; from entrants, nominators, clients, or authorized representatives; automatically through the website and entry system; from payment, technical, and service providers; and, where appropriate, from publicly available professional sources used to verify juror or entrant information.

Entries may contain personal information relating to clients, team members, contributors, participants, photographers, speakers, performers, suppliers, or other individuals.

Entrants are responsible for ensuring that they are authorized to provide this information and that relevant individuals have been informed where required.

Entrants should not submit unnecessary sensitive personal information through entry descriptions or supporting materials.

Where entry or editorial materials identify or depict minors, entrants must have the parent, guardian, or other permission required by applicable law.

Entrants should provide only the personal information reasonably necessary for entry, judging, credits, winner publication, or another stated purpose.

We may use personal information to:

• Create and administer user accounts
• Process and manage entries
• Verify eligibility
• Communicate deadlines and operational updates

Depending on the information, purpose, and applicable law, processing may be based on:

Performance of a Contract

Where processing is necessary to create an account, administer an entry, complete payment, deliver winner services, or provide requested products and services.

Legitimate Interests

Where reasonably necessary to operate and improve the awards, maintain security, prevent fraud, administer judging, communicate operational information, promote winners, and maintain competition records.

We consider the rights and reasonable expectations of affected individuals when relying on legitimate interests.

Consent

Where consent is required for activities such as testimonials, certain media uses, or non-essential cookies.

Consent may be withdrawn where applicable.

Legal Obligations

Where processing is necessary to comply with accounting, taxation, regulatory, law-enforcement, or other legal requirements.

Marketing

Where consent is required, declining or withdrawing marketing consent will not affect eligibility, judging, payment, or winner status.

Entry information and supporting materials may be provided to appointed jurors and authorized competition administrators for evaluation.

Jurors are expected to:

• Protect confidential entry information
• Use materials only for judging
• Disclose relevant conflicts of interest
• Avoid unauthorized downloading, copying, or distribution

Confidential jury briefs and jury-only PDF documents are not intended for public publication.

Award decisions are made through the official judging process and are not based solely on automated decision-making.

Where an entry receives an award, we may publish information including:

• Entry title
• Entrant or organization
• Client or commissioning organization
• Country or region
• Category and award level
• Entry description
• Selected images or thumbnail
• Contributor credits
• Winner profile
• Related award information

Winner information may also be used in websites, announcements, publications, social media, media materials, exhibitions, and historical archives.

Where an entrant selects the available private-entry option, the public description and supporting materials will not be published or promoted. The winner record may display only the entry title, entrant or recipient, country or region, category, recognition level, and any thumbnail expressly permitted through the entry system.

Private contact information, billing information, confidential jury briefs, and jury-only materials will not be published as winner content.

Public winner profiles and editorial materials may be indexed by search engines or shared by third parties. Where a valid removal request applies, we may remove information from platforms under our control, but we cannot guarantee removal from third-party archives, search indexes, or previously published materials.

Winning entrants may submit written interviews for editorial consideration on Muse.World. Selected winners may also be invited to provide video interviews or other editorial materials. Submission does not guarantee publication. Published materials may be promoted through MUSE and IAA websites, newsletters, media communications, and official social channels.

With your permission or where otherwise permitted by applicable law, we may send:

• Competition announcements
• Deadline reminders
• Newsletters
• Winner announcements
• Information about related IAA awards or services
• Relevant promotional communications

You may unsubscribe through the link in a marketing email or contact iaa@iaaawards.org.

Unsubscribing from marketing will not prevent necessary administrative communications concerning accounts, entries, payments, judging, security, or winner services.

We may retain limited suppression information to ensure that an unsubscribe request continues to be respected.

Marketing consent is optional and is not a condition of creating an account, entering the competition, completing payment, or receiving an award.

Personal information may be stored or processed through systems and servers located in Malaysia and the United States. It may also be processed in other jurisdictions where authorized service providers or appointed jurors operate.

• Appointed jurors
• Website, hosting, and cloud-service providers

Service providers receive only the information reasonably necessary to perform their contracted services.

We do not sell entrants’ contact details for monetary consideration. Certain analytics or advertising technologies may be legally classified as “sharing” in some jurisdictions; these technologies are explained in the Cookie Policy and controlled through the cookie-preference tool where required.

Where personal information is transferred internationally, we use measures appropriate to the applicable law and the nature of the transfer. These may include contractual protections, access restrictions, security controls, transfer assessments, consent where required, and verification that the recipient will provide an appropriate level of protection.

Winner and juror information will be shared with media or promotional partners only for the approved publicity, profile, or editorial purposes described in this policy.

The website uses Google Analytics and Microsoft Clarity to understand website usage, identify technical issues, and improve visitor experience.

Where consent is required, these services do not activate until the visitor provides the appropriate consent.

Personal information may be stored or processed in Malaysia, the United States, and other jurisdictions where International Awards Associate Inc. or its authorized service providers operate.

Information may also be accessed internationally when entries are assigned to jurors located in different countries.

Where personal information is transferred outside Malaysia or another applicable jurisdiction, we will take reasonable steps to ensure that the transfer is handled according to applicable requirements and appropriate safeguards.

Privacy and data-protection laws may differ between jurisdictions.

Personal information is retained only for as long as reasonably necessary for the relevant purpose.

Retention is determined according to:

• The duration of the entrant’s account or relationship with us
• Competition administration and judging requirements
• Applicable editing, review, and dispute periods
• Financial, taxation, and accounting obligations
• Fraud-prevention and security requirements
• Legal limitation periods
• Winner verification and benefit administration

Winner names, award information, entry titles, categories, selected materials, and competition results may be retained as part of the permanent historical record of the MUSE Event Awards.

Unsuccessful-entry materials and inactive-account information will be deleted or anonymized when they are no longer reasonably required under the organization’s documented retention schedule, subject to legal, financial, security, dispute, and operational requirements.

Marketing information is retained until consent is withdrawn, the individual unsubscribes, or the information is no longer required. A limited suppression record may be retained afterward.

Cookie durations are addressed separately in the Cookie Policy.

We periodically review retained information and securely delete or anonymize information that is no longer required.

We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

These may include access controls, authentication, encrypted transmission, system monitoring, backup practices, and contractual protections for service providers.

No online service or storage system can guarantee absolute security.

Where a personal-data breach occurs, we will investigate and take reasonable containment and remediation measures. We will notify the relevant data-protection authority and affected individuals where notification is required by applicable law.

Depending on your location and applicable law, you may have the right to:

• Request access to your personal information
• Request correction of inaccurate information
• Request deletion
• Restrict or object to certain processing
• Withdraw consent
• Request data portability
• Manage marketing preferences
• Lodge a complaint with an applicable data-protection authority

Some rights are subject to legal limitations. For example, we may retain information required for financial compliance, fraud prevention, legal claims, or the integrity of official award records.

To submit a request, email iaa@iaaawards.org.

We may request information necessary to verify your identity before completing the request.

We will respond to verified privacy requests within the period required by applicable law. Where additional time is permitted and required, we will provide notice where applicable.

The MUSE Event Awards website and entry system are not directed to individuals under 18. Account holders and individual entrants must be at least 18 years old or otherwise legally capable of entering a binding agreement. Entry materials may depict or identify children only where the entrant has the authorization and permissions required by applicable law.

Individuals who are not legally able to enter into a binding agreement should participate only through an authorized parent, guardian, organization, employer, or other responsible representative.

If we learn that personal information has been collected from a child without appropriate authorization, we will take reasonable steps to review and delete it where required.

The website may contain links to third-party websites or services.

We are not responsible for the privacy practices of third parties. Visitors should review the privacy information provided by those services before supplying personal information.

Where the MUSE Event Awards organizes a physical or virtual gathering, registration information may be used for ticketing, access, safety, seating, production, fulfillment, and attendee communications. Photography, filming, or recording may occur where disclosed.

Approved materials may be used for event documentation, reporting, archival, and promotional purposes. Additional notices or consent options will be provided where required.

We may update this Privacy Policy to reflect changes in law, technology, services, or competition operations.

The updated policy will be published with a revised effective date. Where changes materially affect how personal information is used, we will provide additional notice where reasonably required.
